Who this policy applies to
This policy applies when Elarsam Inc. collects personal information through elarsam.ca, the contact form, direct email or other technology used to communicate about software development and IT consulting services.
Elarsam does not ask visitors to submit passwords, access credentials, financial information, health information or other sensitive personal information through the website.
Information we may collect
Through the contact form, Elarsam may collect the information a visitor chooses to provide so the company can understand and respond to an inquiry.
- Name and work email address;
- Subject and message submitted;
- Technical records needed to operate and secure the site, such as IP address, browser information, requested pages, date and time, and security events;
- A necessary language-preference or session cookie, where applicable.
Why we collect and use it
Elarsam does not currently use optional analytics or marketing cookies on this site. If that changes, this policy and any consent controls will be updated before those tools are enabled.

- To protect, troubleshoot and maintain the website and business communications;

You decide whether to send an inquiry and what optional information to include. If information is required to answer a request, the form will identify it. You may also contact Elarsam using the published business email.
You may withdraw consent for future use, subject to legal or contractual restrictions and reasonable notice. Withdrawal does not affect processing that was lawful before the request.
Who may access the information
Access is limited to people at Elarsam who need the information to respond, administer the website or meet legal obligations. Service providers that host, secure or support the website and business email may process limited information on Elarsam’s behalf.
Elarsam uses Web Hosting Canada (WHC) to host the website, WordPress database and business email. WHC states that its servers are in Canada. Depending on the Canadian hosting region and support operations, limited personal information may be stored or accessed outside Québec but within Canada. Elarsam requires service providers to protect this information and applies the privacy assessment and written safeguards required by applicable law. Elarsam does not sell personal information.
Retention and protection
Elarsam keeps personal information only as long as necessary for the stated purposes and applicable legal obligations, then securely delete or anonymize it.
Contact-form inquiries are retained for up to 24 months and are then deleted, unless a longer period is required by law or needed to establish, exercise or defend legal rights. Server and security logs are retained by WHC according to its operational, security and legal schedules and are deleted or anonymized under those schedules. Elarsam periodically reviews whether the information it controls is still needed.
Safeguards include HTTPS encryption in transit, access controls, software updates, backups, security monitoring and limiting collection to information needed for the stated purpose. No method is completely risk-free.
Your privacy rights
Subject to applicable law, you may ask to access or correct personal information held about you, withdraw consent, make a complaint, and exercise other rights that may apply, including portability or requests concerning online publication and indexing. Elarsam will respond within the period required by law.
